DIG Laboratory Usage Rules

1. General Provisions

1.1

The DIG laboratory is intended for students and teachers to work with digital technologies and to support the educational process.

1.2

Laboratory equipment accounting and rental is carried out using the DigLab Equipment Management System.

1.3

These rules are binding for all students and teachers who use the DIG laboratory premises and equipment.

1.4

The rules are available online in all three languages: Latvian, English, and Russian.

2. Laboratory Access

2.1

Rights to open room 204 are held by: teachers who conduct classes in this room; the program director; other persons specifically authorized by the program director.

2.2

Students do not have the right to independently gain access to the room.

2.3

The room is available only during study hours and in the presence of a teacher.

2.4

If students are in the room, a teacher must always be present.

2.5

During breaks, students may leave personal belongings in the room, but personal items must be removed after classes.

2.6

Laboratory operating hours: Monday-Friday, 9:00-18:00.

3. Equipment Usage

3.1

All valuable and marked equipment (e.g., VR/AR headsets, tablets, phones) is stored in the safe.

3.2

Safe and room keys are issued by security, received and returned with signature.

3.3

Equipment from the safe may only be issued in the presence of a teacher.

3.4

The teacher is personally responsible for all equipment removed from the safe during class.

3.5

Students have the right to use equipment in classes or, after agreement with the teacher, take it home.

3.6

Students must be responsible for equipment damage or loss if it is issued for home use.

3.7

There is no strict limit on the number of equipment units per student, but borrowing must not exceed a reasonable amount.

3.8

Students may install software only with teacher permission.

3.9

When using VR equipment, hygiene masks must be used or disinfection must be performed after each use.

4. Rental and Return Procedures

4.1

All equipment is registered in the DigLab system, where its status, location, and user are recorded.

4.2

The rental period is determined in the system (e.g., up to 1 week or another term determined by the teacher).

4.3

When returning equipment, the student and teacher jointly check its condition.

4.4

In case of physical defects or damage, they must be immediately recorded in the system and reported to the teacher.

4.5

If the device photo in the system does not match the actual condition, it must be updated.

4.6

Late returns may restrict students' future rental rights.

4.7

Lost or damaged equipment must be replaced with equivalent or compensated at full value.

5. Safety and Behavior

5.1

The room must never be left unattended if students are present or equipment has been removed.

5.2

Students must be asked to leave the room during breaks to ventilate it and ensure safety.

5.3

Food and beverages are strictly prohibited in the room, especially when electronic equipment is being used.

5.4

All persons in the laboratory must maintain order: treat others respectfully, work quietly, and protect equipment.

5.5

Smoking and consumption of alcoholic beverages in the laboratory are strictly prohibited.

5.6

In case of emergency, follow the evacuation plan and notify the teacher or security service.

5.7

All accidents or equipment damage must be immediately reported to the responsible teacher.

6. Violations and Sanctions

6.1

Violation of rules may lead to restriction or cancellation of laboratory usage rights.

6.2

Material losses are compensated in accordance with EKA financial regulations.

6.3

Repeated or serious violations may lead to disciplinary measures.

6.4

In case of disputes, decisions are made by the program director in cooperation with EKA administration.

6.5

Students may submit complaints or improvement suggestions to the program director or system administrator.

7. Final Provisions

7.1

The rules take effect from the moment they are approved at the program director level.

7.2

Any amendments to the rules are made only with program management approval.

7.3

These rules are the basis for safe and effective use of the DIG laboratory for both educational and research purposes.

7.4

The rules can be found on the EKA website and in the DigLab Equipment Management System.

7.5

In case of questions or uncertainties, contact the responsible teacher or program director.

Important!

These rules are legally binding for all DIG laboratory users. Ignoring or violating these rules may result in restriction or cancellation of rights to use laboratory equipment and facilities.
